How do timezones work in workflow messages?

Trackler automatically applies the correct timezone to dates in workflow emails and track messages. Which timezone is used depends on who sends the message and whether the recipient has a timezone set.

Emails via workflows

When a workflow sends an email containing a date field (such as an appointment time), the recipient's timezone determines what is shown.

  • The recipient has a timezone set:
    The date and time are shown in the recipient's timezone.

  • The recipient has no timezone set:
    We fall back to the sender's timezone. If that is also not set, we use UTC. The timezone is then clearly shown after the time, for example: 14:00 (UTC).

Track messages via workflows

For track messages, the timezone depends on who sends the message. The timezone is always shown after the time.

  • Sent by a user:
    The date is shown in that user's timezone, for example: 15:00 (Europe/Amsterdam).

  • Sent by the Butler:
    The date is shown in the timezone you have configured for the Butler (see below), for example: 14:00 (UTC).

Setting the Butler's timezone

The Butler has its own timezone setting. By default this is set to UTC. Here's how to change it:

  1. Go to Settings → Butler.

  2. Find the Timezone field.

  3. Select your preferred timezone using the search bar and save.

From now on, dates in Butler messages will be shown in the timezone you configured.

Setting your own timezone

Your personal timezone determines how dates in emails and messages are displayed for you. Here's how to set it:

  1. Go to Settings → Profile.

  2. Find the Timezone field.

  3. Select your timezone and save.

Once your timezone is set, dates in workflow emails will automatically be shown in your timezone.
