Audit log

The audit log shows every change in your workspace, newest first. Filter by event, resource type or date and adjust the view, so you can quickly find what changed, when it happened and who did it.

The audit log automatically records every change in your workspace. Use it to look up who created, edited or deleted something, and to see what the old and new value was.

Opening the audit log

  1. Go to Settings.

  2. Under Logs, click Audit log.

You now see all changes in the workspace, with the most recent at the top.

What you see in the overview

The overview consists of six columns:

  • When: the date and time of the change. Click the column header to sort by oldest or newest first.

  • Who: the member who made the change.

  • Type: the kind of resource that was changed, for example Workflow, Scheduler or Member.

  • Record: the name of the specific item that was changed.

  • What happened: the event, for example Created, Changed or Member added.

  • Changes: the old and the new value, shown as "Not set → Intake".

Filtering by event, resource or date

Click Filter and choose what you want to filter on:

  • Event: filter by what happened, for example Created, Changed, Deleted, Restored, Member added, Member removed, Roles changed, Admin rights changed, Permissions changed or Account anonymised. Notifications around inactivity are listed here too, such as Inactivity warning sent and Retained despite inactivity.

  • Resource type: filter by the component that was changed, for example Workflow, Tag, Role, Member, Open track invitation, Track design, Track status, Course, Collection, Form, Appointment type, Scheduler, Profile, Programme or Site.

  • Date: enter a date as DD-MM-YYYY or pick one from the calendar and click Apply.

You can tick multiple options at once. The list updates immediately.

Searching the log

Use the Search field in the top right to search by, for example, the name of a record or a member. Useful when you know exactly which item you are looking for and do not want to filter first.

Adjusting the view

Click View in the top right to set up the overview the way you want:

  • Under Sorting you choose which property to sort by and whether that is ascending or descending.

  • Under Properties you switch columns on or off: When, Who, Type, Record, What happened and Changes.

  • Reset view returns everything to the default setting.

Frequently asked questions

  • How far back does the audit log go?
    The log shows all recorded changes in your workspace, newest first. Scroll or filter by date to look further back.

  • Can I undo a change from the audit log?
    No, the audit log is meant to show you what happened. You adjust the change yourself in the place where the item lives.

  • Why does a change say "Not set"?
    That means the field was still empty before the change was made. For example, "Name: Not set → Intake" shows that a name was filled in for the first time.

  • Are deleted items recorded too?
    Yes. Deleted and restored items appear as events in the log, so you can always trace who deleted what.
