Using Forms in Trackler
Create flexible forms in Trackler to collect information from Trackees. Think of intake questions, feedback, or reflections — fully customizable to match your workflow.
In Trackler, you can use forms to collect information from Trackees in a structured way. Within your environment, there are two types of forms:
Workspace forms – visible and editable for all members of the Workspace
Private forms – only visible and accessible to you
Where to Find Forms
Go to Forms in the left-hand menu. There you’ll see two sections:
Workspace forms – forms available to the entire team
Private forms – forms only you can view and edit
Select Team Forms to create or manage forms that are shared with colleagues.
Creating a Form
Click Create Form to add a new form. This opens the form builder, where you can structure pages and fields to suit your needs.

Overview and Form Status
In the overview, you’ll see for each form:
Title – The name of the form
Visibility – Whether the form can be shared publicly
Status – Whether the form is in draft or published
Last Updated – When the form was last modified
Use the search bar in the top right to quickly find a form.
You can also filter or sort by properties like visibility, status, or last updated using the Filter and View buttons.
Actions per Form
Use the three dots (…) menu on the right of any form to:
Copy Share Link – Useful when the form is public
Edit – Open the form in the editor
Convert – switch from private to workspace form, or vice versa
Delete – Permanently remove the form
⚠️ Note: Deleting a form is irreversible.
Visibility & Status
Each form has two key properties that affect how it can be used:
Visibility
Private – Visible only within your workspace
Public – Shareable outside of Trackler via a link
Status
Draft – Still being worked on, not yet usable
Published – Ready to assign to a Track or share
You can update these properties under the Settings tab in the form editor.
Workspace forms vs private forms
In Trackler, you can choose between workspace forms and private forms.
Workspace forms are visible to everyone in your workspace. Use these when working in a team and sharing forms with colleagues.
Private forms are only visible to you. These are useful for your own workflows, testing, or forms that aren’t intended for the entire team.
If you’re collaborating in Trackler, this distinction helps keep team forms and personal forms clearly separated.
Want to move a form? You can do so at any time. Click the three dots next to the form and choose whether to convert it to a workspace or private form. The change is applied immediately.
Good to know: both workspace and private forms can be used and shared with a coachee within a Track.
Sharing forms externally
Do you want to share a form with people outside your Trackler workspace, such as clients or coachees without an account? You can make the form accessible for external use:
Open the form you want to share.
Click Settings on the left.
Toggle the Public switch on.
This makes the form accessible to people outside of Trackler.Then click Share in the top right corner to copy the shareable link.
Viewing submissions
When someone fills out your form via the shared link, you can view their responses:
Open the form in Trackler.
Click Entries on the left.
Here, you'll see all received responses clearly listed.
