Use tags to organize data in your workspace, filter reports, or control access to content. Tags are flexible, color-coded, and essential for workflows, visibility settings, and streamlined communication.

Tags in Trackler

Tags help you organize information within your Trackler workspace. Whether you're grouping clients, segmenting tracks, or filtering content—tags add structure and enable automation.


What is a tag?

A tag is a label you can assign to elements like Tracks, workflows, or forms. Tags make it easy to group, find, and filter data. Each tag can also have a color for quick visual recognition.

Examples: “Team A,” “Private Client,” “Intake Complete,” “Advanced Level.”


Creating tag groups and tags

As a workspace admin (or a user with tag editing rights), you can:

  1. Create tag groups – These are categories like “Clients,” “Content Type,” or "Language"

  2. Add tags within those groups – Each tag can have a name and optional color.

There are no limits to the number of tags or colors per group.

Tags are specific to a workspace: your team members share the same tags, but other workspaces cannot see or use them.


What can you use tags for?

Tags are powerful and flexible. You can assign them to:

  • Tracks – For example, to separate client types or coaching programs.

  • Workflows – Trigger workflows only when certain tags are present.

  • Forms – Show or hide forms based on tag conditions.

  • E-learnings – Make an e-learning visible only for Tracks with a matching tag.


Tags in reports

In your reporting dashboard, you can filter by tags to view segmented insights. This helps you evaluate client groups, content categories, or progress — all at a glance.


Automations with tags

Want certain actions to run only for specific users or Tracks? Use tags as conditions in your workflow settings. For example:

  • Send an onboarding only for Tracks created with a specific tag
