Open Track Invites in Trackler

Open Track Invites let users join a Track automatically using a shared link — without you needing to create the Track manually for each person.

You’ll find this feature via:
Settings → Open Invites

What is an Open Track Invite?

An Open Track Invite is a custom link that allows new users to automatically enter a Track you’ve configured in advance. You define:

  • The Track Leader

  • The Track title (can be personalized with variables)

  • Optional tags

  • An internal title for managing invites

This is perfect for self-enrollment in group programs, coaching tracks, or e-learnings.

Creating a new Open Track Invite

  1. Click “New Invite Link”

  2. Fill out the form:

  • Title
This is for your internal reference — e.g. “Leadership Intake Group 1”

  • Track title
This is the name users will see on their Track.
You can use variables like %first_name% and %last_name% to personalize it.
Example: “Coaching Track for %first_name% %last_name%”

  • Track Leaders
Select one or more users to be assigned as the leader(s) of the Track.

  • Tags (optional)
Assign one or more tags. Tags can be used to filter Tracks, trigger workflows, or control access to certain content (like e-learnings or forms).

  1. Click Save

  2. Your invite link is now ready to be copied and shared

Example use cases

  • Public program registrations – users join a group Track with one click

  • E-learning access – only visible if the user enters through a tagged invite

  • Automated workflows – trigger specific actions based on the invite and assigned tags
