Roles & Permissions in Trackler

With Roles & Permissions in Trackler, you control exactly what users can — and cannot — do in your workspace. This way, each person only gets access to what they need — no more, no less.

What is a role?

A role is a collection of permissions. You assign a role to a user, and based on that role, they’ll gain access to specific parts of Trackler.

Example roles:

  • Super Admin – full access to all settings

  • Coach – access to Tracks and reports

  • Light user – limited access (e.g. view-only reports or manage branding)


Setting permissions per role

Click a role to manage its permissions. You can turn each permission on or off. Examples include:

  • Can manage users – add, update, or remove workspace members

  • Can manage roles – create and edit user roles

  • Can manage workspace – access general workspace settings

  • Can manage branding – change logo and brand colors

Some permissions include more detailed options, such as allowing only color or logo editing.


Adding a new role

  1. Go to Roles & Permissions

  2. Click “Add Role”

  3. Enter a name for the role

  4. Toggle permissions on or off as needed

  5. Save — the role is now available to assign to workspace members

You can edit or delete roles at any time.


Using roles when inviting members

When inviting new members, you can assign a role right away. This ensures they get the correct access from the start — especially helpful when using open invite links or adding team members.
