Assigning the Role of Track Manager

Trackler doesn’t use fixed job roles. This article shows how to manually create and assign a “Track Manager” role by setting the right permissions.

Trackler doesn’t have built-in job roles. If you want to give someone the role of Track Manager — someone who can independently create and manage Tracks — you can do so through the permissions system.
It’s a two-step process:

  1. Create a custom role

  2. Assign that role to the right user


Step 1 – Create a custom role with the right permissions

  1. Go to Settings > Roles & Permissions

  2. Click “Add Role”

  3. Give the role a name, such as Track Manager

  4. Click Permissions in the left menu

  5. Toggle on Can manage Tracks

  6. Make sure the following permissions are enabled:

    • Can edit Track settings

    • Can create Track

    • Can invite to Track

    • Can create Tracks for others

    • Can edit settings of others’ Tracks

    • Can manage Track metadata

    • Can manage metadata of others’ Tracks

    • Can manage members of others’ Tracks

  7. Click Save


Step 2 – Assign the role to a user

  1. Go to Settings > Members

  2. Click the three dots next to the user you want to update

  3. Select Edit permissions

  4. Choose the newly created role (e.g. Track Manager)

  5. Click Save

That user now has the Track Manager role and can start managing Tracks independently.


What can a Track Manager do?

  • Create Tracks (for themselves or others)

  • Edit Track settings

  • Add Trackees or colleagues to a Track

  • Assign programs to a Track

  • Manage progress and measurements within a Track


What can a Track Manager not do?

  • Cannot view the chat or logbook unless explicitly added to the Track

  • No access to workspace settings or user management


What can a Super Admin do?

A Super Admin:

  • Has access to all Tracks within the workspace

  • Can manage all settings, users, and workflows

  • Can only view chat and logbook if they are added as a Track Leader to that specific Track
