Where can you find shared documents in a Track?

Shared documents are stored in one central place in the Track. Track Leaders open the overview via the settings, Trackees find documents via the documents widget on the Track Board. This article explains where to find them and how to set up the widget.

What are shared documents?

Shared documents are files that are added and shared with participants within a Track. These can be, for example:

  • PDFs

  • Worksheets

  • Overviews

  • Other important files

Where you find these documents depends on your role in the Track. As a Track Leader you have two options, as a Trackee you find documents via the documents widget on the Track Board.

For Track Leaders: via the Track settings

  1. Open the Track.

  2. Click the settings icon (⚙️) in the top right corner.

  3. Go to the Shared Documents section.

Here you will see an overview of all documents that have been shared within the Track.

For Track Leaders and Trackees: via the documents widget on the Track Board

The documents widget makes shared files directly visible on the Track Board. Trackees can only find shared documents this way, so as a Track Leader, add the widget if you want your Trackees to have access to the documents.

How to add the widget as a Track Leader:

  1. Click the settings icon in the top right corner and choose Edit Board (or use ⌘ + E).

  2. Click Add App at the bottom.

  3. Under Standard, choose the documents widget.

How to configure the widget:

  1. In edit mode, hover over the widget and click the gear icon (Settings).

  2. Under Visibility, choose who can see the widget.

  3. Under Document source, choose which documents are shown.

  4. Click Close to save your settings.

Under Visibility you can choose from:

  • Everyone: all participants of the Track can see the widget.

  • Only me: the widget is only visible to you.

  • Leaders only: only the Leaders of the Track can see the widget.

  • Trackees only: only the Trackees can see the widget.

Under Document source you can choose from:

  • Uploaded documents: files that have been uploaded or dragged directly into the widget.

  • Shared in Track messages: all files that have been shared in the messages of the Track.

The widget shows the most recently shared files. Click View all to open the full overview. You can also drag files directly into the widget to upload them.

When do you use this overview?

The shared documents overview is useful when you want to:

  • quickly find all files of a Track

  • keep an overview of shared content

  • check or manage documents

  • I am a Trackee, where can I find the shared documents?
    Via the documents widget on the Track Board. Don't see a widget? Ask your Track Leader to add one.

  • Can I add multiple documents widgets?
    Yes. For example, you can create one widget with uploaded documents and one with files from Track messages, each with its own visibility settings.

  • How do I remove a documents widget?
    Open edit mode, hover over the widget and click the trash icon. Or open the widget settings and choose Delete widget.
