Want to write a message now but send it later? In a Track, you can schedule a message for any date and time. As a Track Leader, you can for example prepare a check-in for Monday morning at 09:00. As a Trackee, you can send an update before your next session without having to be online at that moment.
The message is sent at the chosen time, as if you pressed Send yourself. Until then, only you can see it.
Who can schedule messages?
Everyone who can send messages in a Track, so both Track Leaders and Trackees. The feature works in all workspaces.
Scheduling a message
Open the Track and type your message in the message box.
Click the arrow next to Send. In the mobile app, press and hold the Send button.
In the Schedule message window, choose one of the options:
Tomorrow 09:00
Next Monday 09:00
Custom: pick a date in the calendar, enter the time under Time and click Pick a date and time.
The message box clears and your message is scheduled.
You can also schedule a message by typing /schedule in the message box. The same window opens, and your text is kept.
Time zone and time limits
The top right of the window shows the time zone you are scheduling in. Trackler uses the time zone from your profile. If you haven’t set one, Trackler uses the time zone of your browser or device.
You can schedule a message at least 5 minutes ahead.
You can schedule a message up to 365 days ahead.
You can have up to 25 scheduled messages per Track at a time.
When the clocks change for summer or winter time, your message keeps its chosen clock time. A message for 09:00 is still sent at 09:00 after the change.
What can a scheduled message contain?
A scheduled message works just like a normal message. You can add text, attachments and mentions (@name) and choose who can see the message. Attachments are uploaded when you schedule the message.
Session commands such as /end and /wrap cannot be scheduled. You will see the message “Session commands cannot be scheduled.”
Viewing and changing your scheduled messages
When you have scheduled messages, a clock icon with the number of scheduled messages appears next to Send. Hover over the icon to see when the next message will be sent.
Click the clock icon to open the Scheduled messages list. For each message you see the send time and the first line of text. You have three options:
Edit: change the text, attachments, mentions, visibility or send time.
Send now: send the message right away.
Delete: the message is never sent.
You can no longer edit a message within 1 minute of its send time.
What happens at the send time?
The message appears in the Track within 1 minute of the chosen time.
The time shown in the chat is the moment the message was sent, not when you wrote it.
Other members only get a notification at the send time. This also applies to mentions: a mentioned colleague only gets notified when the message is sent.
Once sent, it is a normal message that you can edit or delete as usual.
