Note settings

Decide who can see a new note by default and create note templates for yourself or your whole workspace, so notes always follow the same structure and you write them faster.

In Trackler you can add notes inside a Track to capture observations, reflections or important information. In the settings of the Notes app you set the default visibility of new notes and manage your note templates.

Where do you find the note settings?

  1. Go to the left menu.

  2. Click Settings at the bottom.

  3. Navigate to Notes under App settings.

Under Notes you will find three sections: General, Team note templates and Private note templates.

Setting visibility

Under General you will find one setting:

  • Visibility
    Choose who can see a new note by default as soon as you create it. You can choose from:

    • Only you

    • You and other Track Leaders

    • Everyone in the Track (including Trackees)

Please note: this setting only determines the default value. You can always adjust the visibility per note while creating or editing it.

What is a note template?

A note template is a fixed structure for a note. You define a title, a summary and the content, and apply it to a new or existing note with one click. Useful if you record every session in the same way, for example.

There are two types of templates:

  • Team note templates: templates that everyone in this workspace can use when writing a note.

  • Private note templates: templates that only you can see and use.

Creating a template

  1. Go to Settings and navigate to Notes under App settings.

  2. Choose Team note templates or Private note templates.

  3. Click Create template.

  4. Enter a title.

  5. Enter a summary (maximum 255 characters).

  6. Type the content of the template. Press / to add a block, for example a bullet list or a heading.

  7. Click Save.

The template then appears in the overview. Use Filter, Search and View to find the right template quickly when you have several. Click a row to open the template and edit it.

Applying a template to a note

  1. Open a Track and create a note or open an existing one.

  2. Click Template at the top left of the note.

  3. Select the template you want to use.

The title and summary from the template are copied into the note, and the content is added below whatever is already in the note. Existing content is not lost. You will see the message Template applied once this is done.

The Template button only appears when at least one team or private template is available.

Permissions for team templates

Team templates are shared with the entire workspace, so creating, editing and deleting them is tied to permissions. If you do not have those permissions, you can still see and use team templates, but not manage them. You can always create and manage your own private templates. Permissions are set under Settings and then Roles & Permissions.

Why set this up?

Setting the default visibility correctly prevents mistakes and confusion. Do you often work with confidential notes? Then choose "only me". Do you work together with colleagues in one Track? Then it makes sense to give Track Leaders access right away.

Templates make sure notes across your team follow the same structure. That makes them easier to find later and saves time when writing.

Frequently asked questions

  • Does a template overwrite my existing note?
    No. The template content is placed below the existing content. The title and summary are taken from the template.

  • Can I use more than one template in a single note?
    Yes. You can apply several templates one after the other. The content is always added at the bottom.

  • Why do I not see the Template button?
    There is no template available yet. First create a private or team template under Settings and then Notes.

  • Who can see my private templates?
    Only you. Private templates are not shared with anyone else in the workspace.
