Scheduler: Video Meeting

Define whether appointments booked through this Scheduler automatically include a video meeting link. Choose no link, a connected calendar (Google or Microsoft), or add a custom link.

What does the Video Meeting option do?

With Meeting Link, you control how an online meeting link is added to appointments booked through this Scheduler.

You can choose one of three options:

  • None (for in-person or phone appointments)

  • Use connected calendar (Google Meet or Microsoft Teams)

  • Custom link (your own meeting URL)

This configuration applies to all appointments created via this Scheduler.


Option 1: No meeting link

If you select None:

  • A calendar event is still created

  • No video meeting link is generated

  • No “Join meeting” button is shown in the Track

Use this for:

  • In-person sessions

  • Phone calls

  • Appointments without an online component


Option 2: Use connected calendar

If you have one or more calendars connected (Google or Microsoft), you can select one specific calendar as your meeting provider.

How it works

  • You select one connected calendar

  • That calendar becomes the primary meeting provider

  • It generates a native meeting link:

    • Google Calendar → Google Meet

    • Microsoft Calendar → Microsoft Teams

The generated link is:

  • Added to all connected calendar events

  • Stored on the meeting

  • Displayed as a “Join meeting” action inside the Track


Important when multiple calendars are connected

If you have multiple calendars connected:

  • You must explicitly select which calendar will host the meeting

  • Only one calendar can act as the primary provider

  • Other connected calendars receive the same join link, but do not generate their own meeting

This ensures predictable behavior and prevents duplicate meeting links.


Option 3: Custom link

You can manually enter your own meeting URL.

For example:

  • An external video platform

  • A company meeting environment

  • A fixed recurring meeting link

When you provide a valid URL:

  • The link is stored on the meeting

  • It is added to all related calendar events

  • The Track displays a “Join meeting” action


What do participants see?

Regardless of which calendar someone uses:

  • There is always one clear join link

  • The same link appears across all calendar events

  • Inside the Track, there is a single “Join meeting” button (when applicable)

This avoids confusion for users with multiple connected calendars.


Automatic link generation

When a meeting is created:

  • The selected calendar generates the meeting link

  • This may take a few seconds

  • While pending, the system shows a “Generating meeting link” state

  • The meeting updates automatically once the link becomes available


Does this also apply to Track meetings?

Yes.

The same meeting link options are available when you:

  • Create a meeting manually inside a Track

  • Let someone book via a Scheduler

All Scheduler bookings automatically inherit the configured meeting link option.


When should you use each option?

  • None
    → For in-person or phone appointments

  • Use connected calendar
    → For standard online meetings via Google Meet or Microsoft Teams

  • Custom link
    → If you use a fixed or external meeting URL


Good to know

  • Only one calendar can act as the native meeting provider

  • Other connected calendars receive the same join link

  • Google Meet and Microsoft Teams links work cross-platform

  • Zoom is not automatically generated

  • If a selected calendar is disconnected, the system handles this gracefully
