Automatically create a Track via a public Scheduler

Link an open Track invite to your public Scheduler. As soon as someone books an appointment, a Track is created automatically and the booker receives an email invitation to that Track.

With a public Scheduler, anyone can book an appointment with you, even without a Trackler account. Previously, this would only create an appointment, without a Track. That is now a thing of the past: you can link an open Track invite to your public Scheduler, so a Track is ready for the booker automatically after booking.

Step 1: Create an open Track invite

The Scheduler creates the Track based on an open Track invite, so you need one first.

  1. In your Workspace, go to Track Invites under Track settings.

  2. Click New invite link and set up the invite as desired.

Already have an open Track invite you want to use? Then you can skip this step.

Step 2: Link the invite to your Scheduler

  1. Open the Scheduler you want to use and go to the Access & Track tab.

  2. Turn on the Public access toggle. This allows anyone to book appointments.

  3. Under Track on booking, select the open Track invite you want to link.

  4. Optionally, adjust the Track invite message. The booker sees this text on the confirmation screen after booking, so they know a Track invitation is on its way by email.

  5. Click Save.

What happens after booking?

As soon as someone books an appointment via the public Scheduler, the following happens:

  • A Track is created automatically via the linked invite template.

  • The appointment is linked to that Track.

  • The booker sees the Track invite message on the confirmation screen and receives an email invitation to the Track.

The booker is deliberately not redirected to the Track right after booking. Access always goes through the email invitation, so we can be sure the right person ends up in the Track.

Please note: impact on workflows

Once you link a Track to your Scheduler, bookings become Track appointments instead of external calendar items. As a result, the workflow trigger for an external booking no longer fires for this Scheduler.

Want to automate follow-up actions? Use the trigger for when a Track is created instead. It starts automatically for every new booker.

  • Can I use one open Track invite for multiple Schedulers?
    Yes, you can link the same open Track invite to multiple public Schedulers.

  • What if I don't want a Track to be created on booking?
    Simply leave the Track on booking field empty. The Scheduler then works as before: only an appointment is created.
